Administrative Assistant

Brookings Institution India Centre is an independent, non-partisan research organisation based in New Delhi. The Brookings India Center in New Delhi is an affiliate of the Washington, D.C.-based Brookings Institution, the Number One ranked research institution in the world. Established in 2013, Brookings India serves as an important platform for developing and disseminating policy research and recommendations for India.

Position Summary: The Administrative Assistant is responsible for providing day-to-day administrative support to the COO, Scholars, and to the Brookings India office.

Administrative support to the COO

  • Maintain appointments, contacts, internal and external meetings, etc. for the COO
  • Assist with travel schedule, including filling forms, collecting and preparing required documents
  • Update and sync online calendar
  • Organise all travel and reimbursement related requirements by the COO and scholars, prepare any petty cash, check/reimbursement requests on their behalf

Administrative support to the Scholars

  • Organise all travel and reimbursement related requirements by Brookings India scholars and senior staff, prepare any petty cash, cheque/reimbursement requests on their behalf
  • Update and sync online calendar
  • Serve as ITS liaison

Administrative support to Brookings India

  • Reception duties at Brookings India office, such as greeting and receiving staff and visitors
  • Assist with logistical support for events including reserving rooms, booking catering, arranging supplies related to Brookings India events
  • Order and maintain office supplies, organise and stocks supplies, take inventory of supplies and replenish in a timely manner
  • All other admin support.


Education/Experience Requirements:

Bachelor’s degree required. Minimum of two years of administrative work experience in a fast-paced, challenging work environment; preferably in a non-profit organisation. Understanding of business management preferred. Must be able to handle and coordinate confidential information with an extremely high level of discretion.

Knowledge/Skills Requirements:

Excellent organisational skills with high level of attention to detail and follow-up. Multi-tasking skills are essential. Strong oral and written communication skills with ability to interact with all levels of internal and external management. Ability to maintain confidentiality of highly sensitive information. Excellent desktop personal computer skills (Microsoft Outlook, Word, PowerPoint, etc.). Ability to work independently as well as within a small team.
